Careblox Payroll
Once a payroll has been confirmed are you able to edit it if you have made a mistake?
The authorised person in your company can edit the payroll until it has been approved; once it has been approved you are no longer able to make any changes.
Can you export the hours to be paid to external pay bureaus?
Yes we are able to export to external pay bureaus and Sage payroll packages.
Can you pay different rates for bank holidays and overtime?
Yes once you have entered the basic payroll information you can then add as may different pay rates as required. E.g. Bank Holiday time and a half, Bank Holiday Double time and so on
Can an employee be set up on the system with more than one job?
Yes you can enter the employee’s first job as basic 1 then you have the option to add a further four basic rates to any role.
How do I find a leaving date for an ex-employee?
Go to reports and select the Leavers history report. This will print all leavers and give you the date they left.
Careblox clients
If you have discharged a client can you re admit them?
You can only re-admit a client that has been discharged and has not been marked as deceased on the discharge wizard. From the client viewer screen select re-admit tab, select client from the list, then all you do is follow the wizard.
Can you admit a client from the enquiry screen or do you have to retype all their details?
Providing you have entered all necessary details during the enquiry process this can be can easily be converted into an admission. Go to the enquiry screen and click the admit enquiry button. Enter the date of admission and give them a room number, and that’s them admitted. You can edit the details and add the fees by using the view client screen and edit function.
I send my client invoice out through Sage. Will I have to use the Clients programme to produce my invoices?
The CareBlox Clients links into Sage allowing you to continue to use Sage for invoicing, the information for accurate billing is passed from Clients into Sage removing the need for re-entering data.
Careblox purchases
I have created an order but have made a mistake can I change this once it has gone for approval?
Yes you can reject your own orders by rejecting your own order you can then change it and resend it or just delete it.
I need to send 3 quotes before I’m able to place an order can I do it through Purchasing?
Purchasing allows you to create quotes and send them for approval; only the approved quote is then available to be processed as an order. If when you are ready to process the approved order and its price has changed, it will automatically resend it for approval along with all the other original quotes, this allows the approval to be compared to all the original quotes again.
Careblox allowance
Can I still view clients‘ transactions once the account has been closed?
Yes. On the Client Viewer screen click the tab at the top called Closed Clients, Click the History short cut key next to the client you want. All the transactions for this client are now shown.
Can I reprint a transaction receipt at a later date?
Yes you can. Go to Clients from the Main Menu then select the History tab from the Sub Menu (or use the history short cut key next to the clients name on the viewer) select the client, then next to the transaction click the receipt PDF.
Do you have to use your own receipt books in conjunction with Allowances
No. In the Administration section you can choose to allow Allowances to create its own receipt numbers or with this switched off you can use your own
Can you make a single deposit or withdrawal that is split across several accounts e.g. Paying a hairdressing invoice?
Yes you can. Allowances allows you to create a Batch Deposit or Withdrawal. All you do is enter the Invoice Details or Deposit details then choose the clients that the amount is to be allocated against, and it still produces individual receipts.

Apart from the cost of subscription, are there any other charges?
No. You pay £25 per month per product and that’s it, telephone support is included in this charge, there are no setup costs either.
Is my data safe online?
Your data is a lot more secure online then it would be if was kept on your computer. If someone steals your computer they will not have access to your data, and none of your data will be lost as it is kept on our remote servers. We encrypt all data and have physical firewalls to protect your information from intruders.
Do I have to pay extra for support?
No, support is included in your monthly subscription.
Is there a minimum period of time that I can subscribe to CareBlox?
In most cases the minimum period of subscription is 1 month. If you choose to cancel your subscription you will only be charged up to and including the final month. However if you take out a fixed term contract for say 2 years to get a reduced rate you will be tied into the contract until it expires.
If I subscribe to CareBlox, do I have to subscribe to the whole suite?
No. You can subscribe to each product separately, so you don’t have to pay for something that you are not going to use.
